Each spring the Board of Directors requests your participation in a survey that will help determine their initiatives and make certain we are working to assist in the best way possible to make MN BPA stronger than ever.  This information will drive the efforts of committee work at our summer board meeting.

Good morning –

NLC is just a little over a week away.  There are MANY of you that I have not heard from regarding your rooms….I am trusting that you have reviewed the attached document that was sent out over a week ago.   If you have not, please do so today – it is very problematic to try to solve room problems when we are onsite and the property is sold out….

 

Next, regarding your chapter’s arrival date and time.  A previous FLASH was sent out requesting this information to fulfil the request from the Gaylord – I am missing more than half of the chapters.  CAN YOU PLEASE REPLY TODAY so that I can get this information off?

 

Lastly, remember we have a required state meeting on Wednesday, May 9 at 6:30 pm in Dallas 5-7 at the Gaylord.  At this meeting your chapter will receive their trading items, MN state t-shirts plus all National Minnesota Torch recipients will be recognized and receive their medallion.   Additionally there are frequent announcements that will help you onsite as you navigate your students through NLC.  IF YOU ARE NOT ABLE TO ATTEND BECAUSE OF FLIGHT ARRIVALS ETC, YOU MUST FIND ANOTHER CHAPTER ADVISOR TO PICK UP YOUR MATERIALS.  Please let me know who you are designating if this is the case.

MN BPA is excited to announce our new CEAC representative!  Thank you to Tyler Shepard for his years of service to BPA!

 

Lynn O’Driscoll has been teaching business since 1999, first at Woodbury High School and then at East Ridge High School in Woodbury since 2009.  She has taught each business class in their program of studies, but have focused on Marketing, Entrepreneurship, Business Law, and Computer Programming. Another part of her responsibilities is coordinating their business internship program.

 

She been a BPA advisor since she started teaching.  Some of her other responsibilities include serving on their teaching and learning committee and on the MN MBITE board.     Lynn holds a Marketing degree from St. Cloud State, a business education degree from Minnesota State University Mankato, and a Masters of Career and Technical Education with Online Learning from Bemidji State University. 

 

As Lynn says, “I look forward to working with the wonderful Minnesota BPA staff and those at the national level to provide excellent programming for our business students.”

Just a note to further explain – some of you have more than likely been getting “cancellations” from the Gaylord from our group housing coordinator – Melanie Dove.  DO NOT BE ALARMED. 

 

She is working on our room block – here are some instances of what she is dealing with:

  • there were many duplicates where two chapters had both put in for rooms where their students were sharing so one of the rooms is being cancelled
  • there were instances where a member had a room but wanted room mates – now that I have been identifying where they can be combined, that room with often times one person has been cancelled as they are being combined with another room.

So again, do not be alarmed.  I am monitoring it closely!

I have been busy making room adjustments with the Gaylord.  For example some of you had duplicate reservations as both chapters put in for a room, some needed to be added to an existing reservation etc.  The Gaylord has been working on all of this last week.  We are almost finished!

Once all the room combinations and edit/cancels because of duplicates have been taken care of, then I will send out a final list with room mates from Gaylord for advisors to review.

ARRIVALS AT GAYLORD

Please send your estimated arrival time at the Gaylord.  That have requested this info from our Minnesota chapters.  I will compile a list for them.

Minnetonka High School has a full-time business teacher position available for the 2017-2018 school year. The candidate will have the opportunity to work within the Minnetonka Vantage Program and at Minnetonka High School.

There are many deadlines fast approaching.  This email is a quick reminder of what is upcoming. Please review and be sure you and your students have the materials ready to submit before the deadline. It is not advised to wait until the last minute to submit your documents if you do encounter an error, please be patience and retry.  If you continue to have issues, contact National Center.

April 1, 2018, is a Sunday, be sure that you plan and prepare for this.  Here is a summary of some of our major April 1st deadlines.

IF YOU ARE LOOKING FOR ROOMMATES – Please be patient – until registration closes on Friday, it is not productive to dive into the possible match ups that you are looking for if you haven’t arranged something within your regions.  This will be the focus of all my efforts next week.  I certainly am open to friendly reminder emails so that something doesn’t slip thru the cracks.  But again, you won’t hear much until into next week.

 

TORCH AWARDS AT NLC

Some of you have inquired as to how you register for Torch on the National Site.  Members are not registered for Torch Awards through the conference registration system. Those who submit their applications through the torch system, and are approved, will automatically receive their awards at NLC.

Instructions for Submitting a Parental Consent Form

Business Professionals of America will utilize the pre-submit system to collect the scanned and signed Certiport Parental Consent Forms.  We urge advisors to maintain the original paper copy and have it on file with them while at the National Leadership Conference.

Students or advisors, please use the following directions to submit the form.

  1. Visit www.bpa.org/submit.
  2. Use the student’s membership ID and password to login to the system.
  3. Click the link for submitting to an NLC Contest or select NLC 2018 from the list.
  4. Select from the Event list, Certiport Parental Consent Form.
  5. Choose your division.
  6. Enter your name.
  7. Enter the email for upload confirmation.
  8. Click Choose File.
  9. Select the file from your computer.
  10. Click Submit.

A copy of the Certiport Parental Consent Form is attached.  If you have any questions, please do not hesitate to contact me.

We are just finishing up the final conflict resolutions.  When these are complete we will then begin to generate the schedules.  Once we hit GO on that function, you will be able to see your students’ schedules on your dashboard.

Please keep in mind that judged event times are NOT generated and/or available until the late hour just prior to when registration opens.  Actual times will be available when you pick up your conference registration materials next Thursday morning at the conference.

NATIONAL BPA MEMBERSHIP

NOW is the time to make certain that you did not forget ANYONE on your roster.  If they are not members, they will not be eligible to compete at NLC.  Additionally, if you are aware of a incorrect name spelling on  your roster, please contact me so we can get it corrected now instead of when it becomes problematic.

STATE REMINDERS 

PAYMENTS SENT TO STATE OFFICE

Please make certain that when you submit your payment to MN BPA for state registration fees that you include a copy of your invoice with your check.  I am having difficulty trying to figure out checks as so many are coming in without any documentation.

 

VOTING DELEGATES AT SLC

In an earlier FLASH, you received notification that there will be an amendment proposal change considered at the upcoming SLC to change the titles of the State Officer positions.  This means that there will be a business meeting at 7:30 pm prior to the Opening Session at SLC on Thursday evening, March 8.  Region Chairs have the list and will need to secure 10 delegates plus alternates.  If you have students interested, you are encouraged to contact your Region Chair. 

We still are looking for interested individuals to be considered for the CEAC position.  I am extending the deadline until April 15, 2018.  I know that the past 6 weeks since this email, is an extremely busy time for you with region activities and preparing for state.

It has been called to our attention that the Hyatt’s Reservation Payment Form had a typo on the return address.  This form is corrected to reflect sending to bpa@hyatt.com  If you have already completed the one that says to send to deca@hyatt.com, that is fine, you don’t have to redo, just send to bpa@hyatt.com.

 

Below is a duplicate of information previously included in the state registration packet but may be helpful if you are at the point in your chapter's participation in the upcoming state conference to work on the hotel aspect.

 

KEEP IN MIND THE FOLLOWING (READ CAREFULLY)

  • All reservations are made thru the state conference registration site.  It is extremely important that you not only hit SUBMIT on the conference registration portion of the process but hit SUMBIT as well on the hotel portion.
  • Once you hit submit, it does not go instantly to the Hyatt.  ALL housing will sit in our system until registration for the conference closes.  IT WILL NOT GET SENT TO HYATT until after that - so if you have changes to hotel needs prior to registration closes you will edit within the system. 
  • DO NOT CONTACT THE HYATT WITH ROOM CHANGES/EDITS JUST YET - not until after the conference registration has closed.  I will send a flash that indicates housing files have been forwarded to Hyatt.
  • Send your payment form/details to Hyatt (bpa@hyatt.com) when you have registered for the conference.  Be certain to cc:  Jackie

OFFICIAL NOTICE OF BUSINESS MEETING

A Business Meeting of the Secondary Division of the Minnesota Association of Business Professionals of America will be held during the upcoming State Leadership Conference on Thursday, March 8, 2018 at 7:30 pm in the Hyatt Nicollet Ballroom. Voting Delegates will be considering the submitted amendment that has been received by the association.  This notice is within the 30 days required.  
 

PROCEDURE TO AMEND THE CONSTITUTION AND BYLAWS

To amend this constitution, the proposed amendment must be presented in writing by a local chapter or region through its voting delegates, to the Executive Council of the state association.  This council has the responsibility to correct the proposed amendments but must not alter its purpose.  The council chairperson will present the amendments to the Executive Board of Directors, where it must be approved by a majority vote.  Upon approval, the amendments must be published and submitted to all chapters 30 days prior to the next scheduled official business meeting and requires a three-fourths approval by all state voting delegates.

PROPOSED AMENDMENT
The Tartan BPA Chapter moves to sponsor the motion that was approved at the August, 2015 Board Meeting to change the State Officer duties and titles as outlined in the latest Candidate Handbook, Constitution and By-laws be updated as follows. The rationale for these changes is that the descriptions should better reflect the duties of State Officers, and provide candidates and members a better understanding of the Executive Council. Additional suggestions for names for each position have been included in parentheses.

The Business Meeting of the Secondary Division of the Minnesota Association of Business Professionals of America will be held during the upcoming State Leadership Conference on Thursday, March 8, 2018 at 7:30 pm in the ballroom at the Hyatt Regency Minneapolis.

  Also, please be advised that there may be a potential bylaw amendment coming thru for consideration at SLC by voting delegates, changing the titles of the state officer positions.  If this happens, we will need each region to secure voting delegates on your behalf similar to FLC.  As soon as more is learned and received I will communicate to you as well as all membership.

2018 BPA STATE CONFERENCE CONTEST SCHEDULE

Attached is the 2018 Competitive Events Schedule for SLC.  It was in the registration packet but I want to call attention to a few items. ICD-10-CM DIAGNOSTIC CODING  This was not on the original list – it will take place at 12 noon on ThursdayPlease keep in mind that all contest times are subject to schedule to change once registration is closed.  For example there may be two computer events held in lab that at a set time and between the two, the numbers exceed the number of computers we have in the lab. You will hear any changes prior to state – it doesn’t happen very often but always a possibility. There is the Conflict Function on the registration page (https://bpa.mnctsoreg.org) for you to submit conflicts if you already are aware of those.

2018 BPA STATE CONFERENCE EXHIBITS

Attached please find the information for the 2018 SLC Conference Exhibitors/College Fair.  Please share with any potential contacts you may have.  This info has been circulated but frequently there are changing in recruiting staff so you may have contacts that we do not have.

2018 STATE LEADERSHIP CONFERENCE – MARCH 8-10 , 2018  CONFERENCE REGISTRATION & SPECIAL AWARDS INFORMATION

Attached is the registration packet with all the details including hotel rates for SLC 2018.  Conference registration fee remains at $75.00 (same as last year).  This year all students will receive a conference t-shirt – this is NOT an add on item but included in registration so be certain to select t-shirt sizes.    REGISTRATION DEADLINE:  FEBRUARY 8, 2018.  This is also the deadline for pre-submissions as well as the Torch Awards Resumes.   

ADVISOR GARMENTS

We will once again offer an advisor garment for purchase with your registration.  You will receive a flyer for an optional for purchase advisor garment that is available when you register your chapter.  The BPA logo will be embroidered on the sleeve.  This year advisors will NOT receive the conference t-shirt but it will be available as an add on purchase for $10 as well as an upgraded garment.  A different conference gift will be part of your registration packet that I think you will really like!     

EVENT SCHEDULE

The schedule of events for SLC is towards the end of the Information Packet.  Keep in mind that THIS IS TENTATIVE – once we have actual numbers for the lab events after registration closes, there may be a need to adjust event times to accommodate the number of computers needed in the lab for various events.

HOTEL RESERVATIONS

This year the housing will be submitted directly through our online conference registration system.  After you "submit" your housing within our registration system, please complete the attached excel summary form and submit to the Hyatt to verify billing details.  New this year is the Credit Card Authorization Form that you (or business office) should complete and return if a credit card will be used to pay the hotel charges. 

PROFESSIONAL DRESS VISUAL TOOL

Please share the Professional Dress Code with  your members!   Please keep in mind that the BPA Board will be enforcing dress code requirements similar to procedures at NLC where a student has to be appropriately dressed to go on stage.

Each region may nominate two candidates for consideration for national officer candidacy by the deadline established.    Candidates must meet all criteria for national officer positions and the criteria for the Minnesota State Officer Candidate Guidelines.  A letter of intent must be submitted to the Executive Director by February 15, 2018, the established deadline date.  Candidates must pass a test to be eligible to run for a national office.  Recommendations for the national officer candidates will be made by the Screening Committee with the final decision being made by the Executive Director.  Interview and Testing will take place at the State Leadership Conference.  If you have a student interested, please call Jackie at (218) 847-5355 to request additional information packet.  Deadline to submit letter of intent is February 15, 2018. 2018 STATE LEADERSHIP CONFERENCE

Registration Pass Codes were sent to you last week for our State Conference Online system.  Passcode has NOT changed and remains the same from what you have used for FLC and Regions unless you have changed it.  You received the complete packet of info for SLC earlier this morning.  And remember, every item sent out in a FLASH is archived on our state home page under "Announcements".

CEAC REP OPPORTUNITY

 

Please think about applying to be considered for the CEAC Representative for MN Secondary Business Professionals of America. We are looking for a BPA Chapter Advisor/classroom educator that will bring enthusiasm, creativity, and organizational skills as well as knowledge of the competitive events offered to keep the Secondary Division of Minnesota BPA on track. The new term of office officially begins in July 2018 and concludes at the end of the 2021 National Leadership Conference. At that time, you would be eligible for one additional three-year term if you are interested.  Ideally, the new CEAC rep will also attend the 2018 NLC so that we will have representation at the CEAC meeting at NLC this spring.


As a part of this responsibility, please remember that you are required to attend the Minnesota Association Secondary Division Board Meetings (4 per year: August, November, March and May), Summer CEAC Meeting, the Annual State Leadership Conference, and the National Leadership Conference.

 

Attached is the application form as well as information regarding the position from the National P & P.

Good afternoon everyone – This message is being sent to both the BPA Board as well as Region Chairs.

 

Sheri Berggren from Level 8 Creative will be available next weekend during the Fall Leadership Conference from 3-6 pm on Sunday and 9 - 11 am on Monday for you to visit with regarding your Region Conference needs.  She will be working out of Vista 2202 on Sunday and on Monday out of Plaza 7(Headquarters).

 

We will not have a formal training or meeting as the majority of you are well versed with the system.  But she would like to touch base with you.

 

Please make certain that your designated person from your Region meets with her - she would like the following info:

  • Date of conference confirmed
  • Hard/Soft close
  • Cost/location (if different than last year)
  • Any special "add-ons"

FLC REGISTRATION FEES

Please remember that registration fees are due PRIOR to the start of FLC.  Please do not hand in checks on site as they just get misplaced in the activity of the conference.

 

As I receive checks, I post them to the system and an email is generated that they have been received.  If you have not yet been notified, a check has not yet been received.

MONDAY

The breakout sessions offered on Monday morning at 8, 9 and 10 am are extensive!  I wanted to share the final list with you as the program book is not quite ready.  Students will attend a session of their choice at 8, 9 and 10 am.

 

SUNDAY

Students will be assigned to a color group within their selected track of New Member, Returning Member or Chapter Officer.

 

IT IS EXTREMELY IMPORTANT THAT THEY GO TO THE COLOR GROUP/ROOM THEY ARE ASSIGNED TO OR THEY WILL JEOPARDIZE SEATING CAPACITIES……

 

Every student will participate in two sessions (3 pm and 7 pm) and the descriptions of their two activities/sessions are attached.

 

ADVISOR SESSIONS

There will be specific advisor sessions Sunday evening as well as at both 9 and 10 am on Monday - these are for you!   See the attached list (included at the end of the listing).

HOTEL TAX RATE

Last week you received an email that the tax at the hotel had increased as of October 1 meaning approximately .35 difference per room from what you have probably submitted to your district officers.

 

If you have not redone this or submitted paperwork to correct, please don’t take the time – MN BPA will have any of those small shortages routed to our master so that you do not have extra work on your part.  I will work directly with the hotel to make certain this happens.

IF YOU HAVE NOT REGISTERED OR BEGUN THE PROCESS

Please check today to make certain that you have your log in and pass code ready - it will make next Monday a little less stressful!  Your password etc. is the same as what you used last year and remains the same unless you change it.


SUMMARY OF STEPS TO REGISTER FOR STATE

Here are the steps you need to complete - Just make certain that you do or have done all of the following:

  1. SUBMIT your conference registration (this includes the track students will participate in) on our state online system – you have the pass code right?
  2. SUBMIT YOUR ROOM LIST on our state conference website – this is a separate submit button.
  3. IF YOU ARE SHARING ROOM WITH OTHER SCHOOL:  put these instructions on the excel form described below - they will take it from there. 
  4. Send your RESERVATION FORM/invoice summary to Doubletree (it is an excel form that will assist with setting up billing).  Please send me a copy. I am attaching a copy for your convenience.  This will serve as your invoice for your hotel charges.  Also attached is a form if you will be using a school credit card.
  5. Send check to MN BPA for the registration portion.  You can print an invoice from the system.

 

Do this on or before next Monday – that’s the deadline.  After October 2the registration fee increases by a onetime $50 fee per chapter so be sure to meet the deadline date!  Then send a check for the invoice amount for registration to MN BPA MUST BE RECEIVED PRIOR TO FLC.

 

HOTEL CHANGES

Once the hotel receives all data from our site (we will transfer to their system after the deadline) you will then receive email confirmations for your rooms. 

VOTING DELEGATE ALLOCATIONS

From the FLC Packet:

Elections of the 2017-2018 State Officers will take place during the Fall Leadership Conference. Region Advisors & Region Presidents will be responsible for securing voting delegates on behalf of their region.  Voting Delegates MUST be in attendance at the Voting Delegate Briefing to be eligible to vote – this session is held at on Sunday, October 29 at 12:30 pm at the start of the conference.

 

Each region is allocated 10 delegates in addition to alternates.  If you have a member interested in serving as a voting delegate, please contact your Region Chair direct.  Officer Candidate Applications are due on or before October 2, 2017.  Officer Candidates are to refer to the“State Officer Candidate Information Packet” for additional information.


Region Chairs will receive the form this week that they will submit their regions' delegates on.  Thank you for encouraging your members to serve as voting delegates!

Hopefully you are encouraging members to submit their materials to be an officer candidate at the upcoming fall conference elections.

 

Here are a couple of clarifications for you to keep in mind as you work with your member.

 

WORKSHEET KEY

AFTER members  have been slated as official candidates, you as well as the members will receive a study guide key for them to prepare for the onsite exam.

 

EXPENDITURES

Attached is the form for students to use for their verification of expenses.  This will be verified and submitted prior to the campaign rally.  Please keep in mind that if something is donated or previously owned, the fair market value still needs to be listed.

 

FOOD ITEMS AT THE CAMPAIGN RALLY

Please remind your candidates that home baked goods/products are not allowable – all give away items must be commercially packaged as per state health codes.

 

BLAZERS

All candidates need to wear a navy blazer with BPA logo.  A few options for sourcing include:

  • if you have a BPA blazer but its the wrong size for your candidate, the patch could be put on any navy blazer
  • blazers are available through order through National BPA
  • borrow from a chapter within your region

 

Khaki or grey skirts or slacks are recommended but it is the candidate's choice.

 

PROFESSIONAL ATTIRE

OFFICER TRAINING CONFERENCE

The mandatory training for the newly elected state officers will be held November 17-19, 2017 in Minneapolis.

  • The campaign manager may not serve as a voting delegate or alternate voting delegate.
  • Application is not accepted electronically - must be submitted as outlined in the packet.

Over the next few days as well as into next week, you will receive many emails to get us back at it including this membership info, state officer candidate info and FLC.  Please keep them and digest as time permits!  Keep in mind that for your convenience everything is posted on the advisor announcement page on our state website so that you are able to go back and reference if you misplace an email.

When the pass codes to register are generated, I will send you an email as a heads up to watch for it.  Hang onto this email with subject as BPA Fall Leadership Conference - System Log-In Information, please check your spam. MEMBERSHIP DUES

Registration for the 2017-2018 BPA Membership Year opened last week . Please make plans to register your members for the start of the new school year. Members must be registered prior to participation in BPA activities including Fall Leadership Conferences.

Just a reminder that last spring the MN BPA Board of Directors passed a dues increase for this year – state dues are now $8.  The increase is going to pay for a complete package of liability insurance for MN BPA.
