VOTING DELEGATES

We may have a few spots for voting delegates after they are filled with State Officers and Region Presidents - if you have anyone interested, please let me know their names.  It is a great opportunity for students considering seeking office in the fall.

 

STATE MEETING

Remember that we have a state meeting prior to the opening session  At this meeting, the officers will have a program, t-shirts, pins etc will be distributed and new this year, we will recognize each recipient of the National Ambassador Award with a medallion.  Be sure to attend!

Thank you for your patience with all of my forwards for room mates.  IF you can find/secure ahead of time, that is terrific - once all registration is in, I will continue to work to fill rooms for you as well. 

COUPLE OF DO'S AND DON'TS AS YOU REGISTER FOR NLC

  • DO log onto the National Membership site as your first step in registering - this is for actual conference registration as well as securing rooms.
  • DO REQUEST a room even if you don't know who I will end up pairing you with provided we have someone
  • DON'T send a deposit to the hotel.  I think you need to enter you are paying by check or credit card to get to the next step.  When you get an email for credit card authorization just ignore as I have already made deposit etc. on Minnesota Room
  •  DO complete each tab on my excel file - start with tabs and let the spreadsheet do the summary on the first page.

Thank you all for a great BPA State Leadership Conference. On behalf of the competitive events team, I greatly appreciate your willingness to administer, proctor, and grade. This year's conference went incredibly smooth due to your willingness to follow-through with your APG assignment(s). I also want to specifically recognize and thank Wendy, Elaine, and Julie for helping out in the grading center, and Nancy for helping out with coordinating APGs and judges. As you all know, the "behind the scenes" work often goes unrecognized and there is no way that we could pull off this large of an event without this extra help.

 

As a friendly reminder, pre-submits for Nationals are due Saturday, April 1. National pre-submit guidelines are attached to this email for your reference (pages 24-25 of the WSAP). One additional note- if you have a student competing in a computerized event that has a certification component at NLC, pay close attention to this in the WSAP and make sure to register your student(s) for Certiport prior to the conference.

 

If you have any pre-submit questions between now and then, do not hesitate to reach out to me.

We will be leaving this option open for any and all changes that come up prior to and during the conference as it makes it much easier to collect the appropriate information rather than "taking a note".

This should be used for conflicts that are OUTSIDE of the BPA Conference realm - for example John Doe is in a forensics competition on Thursday afternoon and will arrive after his Banking and Finance....

From there we will review your request.

Registration Pass Codes were sent to you yesterday for our State Conference Online system.  Please look for this email and save it!  You will receive the complete packet of info early next week.  And remember, every item sent out in a FLASH is archived on our state home page under "Announcements". 


PROJECTION EQUIPMENT AT THE STATE LEADERSHIP CONFERENCE

MN BPA will continue to provide equipment for events during the 2017 SLC - see attached list for those events that have projection equipment provided. 

Please let me know if there is anything you need as you prepare for state during this busy time!

DRESS CODE AT SLC

At the last meeting of the MN BPA State Board of Directors, the motion was passed that MN BPA follow the National Dress Code.  I am attaching the overview that is included in the pre-conference NLC booklet as well as a visual that may help your students.

 

This is being sent in a separate flash as the board feels strongly that we follow this and be sure to remind our members.  We will uphold this standard of professionalism of BPA.  Please remember these two biggest areas that are emphasized:  skirt/dress length and young men wearing ties.

 

Additionally, please be advised that for students to receive their award on stage at the Grand Awards, they need to be appropriately dressed.  This will be monitored in the holding area before they go on stage.  We will follow the same procedure as they do at NLC - if a student is not dressed accordingly, they can go back and secure a tie etc if they get back to the holding area prior to their event group going on stage for the presentation of their respective award.  Members not adhering to the Professional Dress Code will not be allowed on stage.

Auditions are now being accepted to sing the National Anthem at the 2017 SLC Opening Session. There have been some questions - so to clarify the STATE procedure when you have students sharing with another chapter.

 

  1. Determine which chapter is the lead chapter - this is the chapter that will submit on the rooming list in our conference registration system.
  2. Please email Jackie with the names of the students (each chapter) who are to comprise the room - I will go in and add the names into the existing room.
  3. Chapter that is the lead chapter pays Hyatt - it will appear on their excel file summary in the count.
  4. Chapter who is the non-lead chapter will pay the chapter they are sharing with directly.

REMEMBER - CONFERENCE REGISTRATION IS DUE TOMORROW!  This includes your housing - be sure to "submit" that as well!

Here are a few reminders about pre-submissions (which are due on Friday).

  • Review the WSAP guidelines to upload the appropriate file type. Most require files to be uploaded as PDFs.

    The purpose of this Framework is to provide educators and administrators with a guide for curriculum development, assessments, program development and program approvals.

    We wanted to invite your students to our leadership conference on February 23rd from 5:30-8:30. The conference is FREE to all participants.

     

    The conference is an incredible way for our students to connect with local business leaders; we also think it’s a great way to research information that could lead to competitive success in BPA & DECA.

    This isn’t a DECA project for Minnetonka-simply an opportunity to expose our students to dynamic leaders. We have 100 spots available to students outside the Minnetonka School District.

    ADDITIONAL ENTERTAINMENT AT STATE

    Prior to the hypnotist schedule for Friday evening at 10:00 pm, the State Officers are hosting a talent show for our members!

     

    This year, your State Officer Team is excited to announce that prior to the entertainment at SLC this year they will be holding a mini talent show as pre-entertainment! We believe it’s a great way for Minnesnowta Mike to get to know more of our members by showcasing some of their whimsical talents. If you would like to participate, send in an audition clip or schedule a google hangout by emailing any of the State Officers.  We will be offering rewards for those who participate as well as caption awards. As an added bonus, if you win the most creative talent then you and your chapter will receive reserved seating for the Hypnotist show! The mini talent show will be 45 minutes long and will begin at 9 PM, and due to the time constraint we will be auditioning members prior to the event. The deadline to audition is March 10th and more guidelines are listed below. You must sign and send the guideline form along with your audition. You may send your audition materials and/or google hangout time and date preference to our State Secretary, Grace Ricard, grace.ricard@mnbpa.org.  For more information contact your state officer team with any comments or questions.

    Torch Deadline is Sunday, February 19th.  Once they have been submitted, they will be reviewed.  If we find they do not meet criteria, we will be contacting you so that your student will have an opportunity to correct and resubmit if needed prior to SLC.

    Good day everyone!  This is a duplicate of information previously sent but may be helpful if you are at the point in your chapter's participation in the upcoming state conference to work on the hotel aspect.

     

    KEEP IN MIND THE FOLLOWING (READ CAREFULLY)

    • All reservations are made thru the state conference registration site.  It is extremely important that you not only hit SUBMIT on the conference registration portion of the process but hit SUMBIT as well on the hotel portion.
    • Once you hit submit, it does not go instantly to the Hyatt.  ALL housing will sit in our system until registration for the conference closes.  IT WILL NOT GET SENT TO HYATT until after that - so if you have changes to hotel needs prior to registration closes you will edit within the system. 
    • DO NOT CONTACT THE HYATT WITH ROOM CHANGES/EDITS JUST YET - not until after the conference registration has closed.  I will send a flash that indicates housing files have been forwarded to Hyatt.
    • Send your payment form/details to Hyatt (bpa@hyatt.com) when you have registered for the conference.  Be certain to cc:  Jackie

    Please share the Professional Dress Code with your members!   More info will follow - but please keep in mind that the BPA Board will be enforcing dress code requirements similar to procedures at NLC where a student has to be appropriately dressed to go on stage.

    Today is the day to send a friendly reminder to be sure to submit your state and national dues.  Below is more specific information.  State dues are $5 until the first Monday of December which is right around the corner - thiscoming Monday!  

     

    HOW TO SUBMIT STATE BPA MEMBERSHIP - PLEASE TAKE NOTE!

     

    To access the online membership registration system, please go to http://www.registermychapter.com/bpamem/and enter your username and password.  Attached is a user guide for your reference.

     

    Please remember that it will be essential that you include a copy of your invoice with your payment when submitting it to National BPA.

     

    Minnesota state dues will be submitted online through the national website.  We are a unified dues state, that meaning that all state members must be national members as well.  This means that you will submit ONE check to NATIONAL BPA for both state and national dues.  Or you may call the national center direct to pay by credit card.  

     

    State dues will continue to be $5 per member up until December  5th.  Thereafter ALL additions will be at a rate of $6 for state membership.  National dues remain at $12.00.

    You received an email Monday evening stating that you could log into the dashboard on the registration system to download/view your chapter's participation in breakout sessions.  About 1/2 of you have accessed this info.  Please be sure to do so - it's time consuming to do this and I want to be sure it is utilized.

    The breakout sessions offered on Monday morning at 9 and 10 am are extensive!  I wanted to share the final list with you as the program book is not quite ready.  Remember that those students that are in the college/career track have continued session at 9 am.  They are the only "track" of students that meet on Monday.

     

    ADVISOR SESSIONS

    There will be specific advisor sessions during EACH time slot that the students have sessions - please participate - these are for you!   See the attached list (included at the end of the listing).

     

    Sunday afternoon we will have a frameworks - you are encouraged to bring a laptop or iPad with.

    FLC 2016 is going to be a terrific event to get your chapter motivated for a successful year with BPA!  We have almost 400 BPA members participating!

    Your students will have approximately 20 sessions to choose from on Monday morning at 9 and 10 am - they will attend two of their choice.  The actual program book is in the works with the printer right now.  I will have a proof to share with you at the beginning of the week so that you can plan with your students.

    PLEASE TAKE NOTE OF SOME HOUSEKEEPING TYPES OF DETAILS PRIOR TO FLC

    Please log back in and double check all spelling as well as what tracks you have selected for students.  We have had challenges with students not going to color groups assigned which creates many problems with seating accommodations so we will try to not randomize so that they are more likely to be together.  Room sizes and assignments are based upon the numbers in each track so it is imperative that they participate in track that you select for them....please make certain that your attendees understand this.  We will have monitors at the door to make certain the students are going to their assigned room - necessary to ensure rooms are set appropriately.

     

    YOU CAN STILL ADD ATTENDEES - but you are not able to change t-shirt sizes on original submissions as the order has been finalized.

     

    Monday breakouts are all by student choice not track.  The schedule is still in the works and the program book will not be available until right before the conference.  I will continue to send additional updates - if you have any specific questions, please ask!

    When working with changes with the Hyatt, please keep in mind that they are finalizing 400 room reservations for the conference - your patience is appreciated!

    i really need help in finding out information on making and selling frozen pizza through concessions. I manage the concession stand and am looking at making my own pizzas instead of relying on delivery businesses but need help from a seasoned person with experience. Companies/products recommended, pizza sizes that work well in school concessions, types of pizza ovens that really work well and last more than one year, etc are questions that I could really use answers to.  Penny Troe.

    REMOVING STUDENTS FROM FLC REGISTRATION

    some of you are having challenges removing a student from FLC registration - here is a note from Sheri for assistance:

    I am not really sure why removing isn't working for some of them. What I have been telling them is to use the "direct" link, each time they have said everything works fine then. For BPA: http://bpa2016flc.mnctsoreg.org

     

    The detailed explanation: the web browser is "caching" the page, essentially holding on to old, bad code, which causes it not to work. Using the direct link forces the browser to get fresh code, and all is well. I am also testing ways to prevent the browsers from holding on to the old, bad code.

    MN Fall Leadership Conference

    MN BPA will host the 2016 FLC, November 6 & 7, 2016 at the Hyatt Regency Minneapolis at a rate of $129 plus tax .   Conference registration fee will be $35 and includes a conference t-shirt.

    Please keep in mind that the agenda is a work in progress - there will probably be minor changes to time frames after we see numbers attending as well as numbers of candidates. 

     

    We have taken great care based upon YOUR feedback to loosen up the up the scheduling.  We are also working closely with the training company to revise, update and recreate the content of Sunday's breakouts. 

     

    FOCUS Training is excited to launch a whole new set of workshops at the BPA Fall Leadership Conference. We’ve heard the feedback and are committed to providing a fresh experience for students including new content, new activities, and new delivery methods.  Returning attendees can also expect to experience increased student engagement through the use of various technologies.

     

    In order to ensure a fresh experience for your students year after year, we have devised a track system that grows with your students. Our beginners track (start NOW) is meant for first-time conference attendees and is intended to focus on the nuts and bolts of the organizations as well as general team building principles. Our experienced members track (win NOW) is meant for second year attendees and builds on the foundation created the previous year in the beginners track. Our Officer track (lead NOW) was developed to give local chapter officers tools they can use back in their home chapters and tips and techniques to better lead their younger members. And finally, our college and career track (future NOW) is designed for our seniors who are looking toward their next steps after high school. Registering your students in the appropriate track will help ensure they are seeing new material and meeting new friends each year.

     

    FORMAT FOR FLC

    FOCUS Training will be hosting  the two breakout sessions on Sunday (1 in the afternoon and 1 in the evening) where each student will have the opportunity to learn to lead!!  You will find more programming details in future emails.  There will be four track opportunities:

    Attached is the packet with State Officer Candidate Information.  Elections will take place at the 2016 Fall Leadership Conference,November 6 & 7, 2016.  Deadline for RECEIPT of all application materials is October 5, 2016 

     

    Please be aware of the following change that has been approved by the MN BPA Board of Directors:

    ·Candidates running for state office need to have a navy blazer with a BPA patch by FLC to wear during FLC.

     

    Additionally the duties of each officer has been updated:

    The 2015-2016 State Executive Council proposed updating the state officer duties to the State Board of Directors at the recent August Meeting.  These changes to duties have been approved by the board and the duties on pages 2 & 3 have been updated accordingly.  The rationale for these changes is that the descriptions should better reflect the duties of state officers, and provide candidates and members a better understanding of the Executive Council.  Additional suggestions for names for each position have been included in parentheses should a proposal be brought forth for voting delegates' consideration.

     

    Please remember the following changes that were implemented LAST YEAR:

    ·        The campaign manager may not serve as a voting delegate or alternate voting delegate.

    ·        Application is not accepted electronically - must be submitted as outlined in the packet.

    ·        The campaign manager is allowed to use business cards.

The past few years the number of members throughout Minnesota has gotten close but stayed below the 2,000 member threshold. However this year, the team has challenged the state to break through that barrier and reach 2,000 members. As numbers stand currently we are about 206 members away from breaking 2,000 and we need you and your members help to make this goal a reality. I have attached a PowerPoint you may use to explain what BPA is and how it can benefit high school students. The chapter who gains the most members this school year will receive recognition at the State Leadership Conference as well as reserved seating for all chapter members within the front rows.
